Personal data processing notice for job applicants
Nexar Games respects your privacy and is committed to protecting the personal data of applicants participating in our recruitment process.
This Notice explains what personal data we collect, why and how we process it, how long we retain it, who may access it, and your rights regarding your personal data.
Please read this Notice carefully before submitting your application.
1. Information about the personal data controller and processor

In this Notice, “Nexar Games”, the “Company”, “we”, “us”, or “our” means the legal entity identified above.
“Applicant” or “you” means an individual who provides information to Nexar Games to learn about or apply for a job opening.
2. Personal data we may process
Depending on the role and the information you provide, Nexar Games may process the following categories of personal data:
2.1. Identification and contact information
- Full name;
- Date of birth, if requested or included in your application;
- Phone number;
- Email address;
- Contact address, if provided;
- Personal photograph, if included in your CV or application.
2.2. Education and professional information
- Education;
- Major or field of study and school or institution;
- Work experience;
- Job titles and employment history;
- Skills and professional expertise;
- Certificates and achievements, if provided in your application;
- Projects completed;
- CV, portfolio, or other professional materials you provide;
- Links to a website, portfolio, or professional account that you voluntarily provide.
2.3. Information generated during the recruitment process
- Role applied for;
- Application date and application history;
- Communications between you and Nexar Games;
- Recruitment tests or practical assignments and their results;
- Information collected during interviews;
- Assessment results regarding your suitability for the role;
- Notes and comments used to support recruitment decisions;
- Professional reference information, where a reference check is conducted.
2.4. Technical data
Where necessary to operate and protect the Website, our systems may record certain technical data, such as IP address, device type, browser, access time, or system logs.
The use of cookies, website analytics tools, or similar technologies, if any, is governed by the Website Privacy Policy and/or Cookie Policy.
2.5. Sensitive personal data
Nexar Games does not require Applicants to provide sensitive personal data at the initial application stage, unless the information is genuinely necessary under applicable law or for a lawful requirement at a specific stage of the recruitment process.
If Nexar Games needs to process sensitive personal data, you will be informed of the scope and purpose of the processing before providing the data, unless otherwise provided by law.
3. Purposes of personal data processing
Nexar Games processes your personal data for purposes directly related to recruitment, including:
- Receiving, acknowledging, and managing applications;
- Contacting you during the recruitment process;
- Reviewing and assessing your suitability for the role applied for;
- Administering and evaluating recruitment tests, practical assignments, or interviews;
- Communicating among the recruitment team, Hiring Manager, and other persons responsible for evaluating applicants;
- Verifying necessary professional information when conducting reference checks;
- Notifying you of the outcome and carrying out the next steps in the recruitment process;
- Preparing to establish an employment relationship if you are hired;
- Complying with legal obligations relating to recruitment and personal data protection.
Nexar Games does not use application data for purposes unrelated to recruitment without an appropriate legal basis or your consent where required.
4. Rights of data subjects
As a Data Subject, you have the following rights:
a. To correct or update inaccurate or incomplete personal data;
b. To request that the Data Controller delete personal data it holds about you.
You also have other rights under Clause 1, Article 4 of the Personal Data Protection Law No. 91/2025/QH15.
5. Retention of personal data
Your personal data will be retained from the start of the recruitment process with Nexar Games until you request that the Company delete it. If you become an employee, your personal data will instead be retained in accordance with applicable labor laws and other relevant regulations.
6. Professional reference checks
For certain roles, and where genuinely necessary, Nexar Games may conduct professional reference checks to verify information you have provided about your prior employment, job titles, experience, or professional capabilities. Any reference check will be limited to information about your previous employment or other information permitted by law and directly relevant to recruitment.
When you provide a referee’s details, you confirm that you have obtained all necessary consent from that person for their details to be included in your application and for Nexar Games to contact them to verify your information.
7. Personal data protection measures
Nexar Games applies appropriate administrative and technical measures to protect Applicants’ personal data against unauthorized access, use, disclosure, alteration, loss, or other unlawful processing.
Depending on the systems in use, these measures may include:
- Access authorization and access controls;
- Limiting data access based on job responsibilities;
- Account and authentication management;
- Protecting data storage and transmission systems;
- Data backups where necessary;
- Logging and monitoring access activities;
- Training and assigning responsibilities to personnel authorized to process personal data.
If a personal data incident occurs, Nexar Games will take appropriate response, remediation, and notification measures in accordance with applicable law.
8. Withdrawal of consent
You may withdraw your consent at any time to the continued use, disclosure, storage, and/or processing of your personal data for any of the purposes described above by contacting Nexar Games at:

If you withdraw your consent, Nexar Games may be unable to continue processing your application. Your application will be deleted from our systems, and your recruitment process may have to stop. As a result, you may no longer be able to participate in interviews or assessments or receive a recruitment decision from the Company.
Personal data previously provided will not be used or processed for any other purpose unless otherwise permitted or required by law.
9. Data transfers and storage on service provider systems
Application data may be stored or processed using technology systems and service providers used by Nexar Games.
If personal data is transferred outside Vietnam or processed on a platform located outside Vietnam, Nexar Games will comply with applicable legal requirements for cross-border personal data transfers.
